Your inbox
One list with your alerts, your time-off requests and announcements: how to search it, what gets marked as read, and how to choose which alerts you get.
Your Inbox gathers everything Orquiva has to tell you in a single list: alerts, your time-off requests and your company’s announcements, newest first. It sits in the side menu, and the number next to its name is how many alerts you haven’t read.
What’s in the list
There are no tabs. Everything comes together, sorted by date, and each item carries a colored tag that says what it is:
| Item | How you recognize it | What it asks of you |
|---|---|---|
| Alert | The sender is the module that sent it: Time off, Signatures, Documents, Expenses, Clock-ins, Onboarding or Talent management. It carries tags such as | It depends: some only inform you and others lead you to something to do |
| Your time-off request | The tag is its status: | Nothing. It's there so you can see how it's going |
| Announcement | Tagged | Read it. If it asks for acknowledgment, opening it records that |
These are the alerts you can get: your time off approved, rejected or updated, and the outcome of a time-off deletion; new documents and documents you’re required to read; new signature requests, your turn in a signing chain, reminders and expired requests; onboarding tasks and reminders; approved expenses; clock-in corrections approved, rejected or where a manager asks for more information; surveys and evaluations assigned to you; and Your working day is still open, which arrives in the evening if you forgot to clock out. Announcements and their attachments are covered in Announcements.
If you decide other people’s time off, you also get Time off awaiting review when someone on your team requests some, a notice when someone reports an absence that needs no approval (sick leave), and requests to delete time off that was already approved. All three point you to Time-off control, which is where the decision is made. See Approving your team’s time off.
It doesn't tell you about your own actions
Orquiva doesn’t send you alerts about things you did yourself. If you request time off, you don’t get a “request created” alert: you see the request in the list as Pending. And if you are your own approver, you don’t get the “awaiting review” alert either. Anything that asks you to do something does reach you even if you started it: if you publish a survey for the whole company, or upload a document you have to read or sign, you get yours.
Read and act
- Open your Inbox from the side menu.
- If you’re looking for something specific, type in Search messages…: it searches the sender, the subject and the text. To see only what you haven’t opened, click Unread; to see everything again, All.
- Click an item. Its details open in the panel on the right (full screen on a phone) and it’s marked as read.
- If the alert has something for you to do, a button at the end of the details takes you there: View my requests, View my signatures, View my evaluations, View the survey and others depending on the module.
There’s no button to mark everything as read: each item is marked when you open it.
Reading isn't doing
Opening a signature or onboarding alert marks it as read, but the task is still there. A signature stays pending until you sign or decline, and it can expire. See Signing documents.
Choose which alerts you get
The gear icon in the inbox header opens Notification preferences. There you decide, alert by alert, whether you want it in your inbox and, where available, by email. If you turn off the inbox for a type of alert, that alert stops being created. Everything starts switched on. The details are in Notifications.
What happens next
What you open stops counting toward the number in the menu and drops out of the Unread filter, but it stays in the list: marking as read deletes nothing. Your time-off requests stay after they’re decided; only their tag changes. Announcements are marked as read only in the browser where you opened them, so on another device they can show up as unread again.
If something goes wrong
I can’t find an alert I remember. Check that you’re on All and not Unread, and clear the search box.
An announcement I already read shows up as unread again. You read it in another browser or on another device: the read mark for announcements is stored per browser. If it asked for acknowledgment, that was recorded.
I’m a manager and didn’t get an alert about my team’s time off. The alert goes to the requester’s direct manager and, if they have none, to the administrators. If you are their direct manager, check in Notification preferences that you haven’t turned off Time off awaiting review. Clock-in corrections and expenses don’t alert the approver: review them on their own screen.
I stopped getting a type of alert. You turned it off in the inbox column of Notification preferences. Turn it back on and click Save changes. Alerts that weren’t created while it was off don’t appear afterward.
I click View my evaluations and end up on the home page. Your role doesn’t include access to Performance yet, which is where evaluations are answered. Ask HR to give it to you. See Goals.
