You clock in from the workday card, which is on Home and also at the top of Time tracking → Clock-ins. It’s the same card on your computer and on your phone.

Before you start

  • There’s one counter, and the server keeps it. It doesn’t matter which screen or device you clock from: if you clock in on your phone and clock out on your computer, it’s the same working day. Closing the browser doesn’t stop it.
  • Orquiva doesn’t stop you clocking in early, outside your shift or on a public holiday. It records what you actually work; the plan is compared afterward.
  • If you have no schedule assigned, the card says No schedule assigned · clock in freely. You can still clock in, but there’s no hours target to compare against.

Clocking your day

  1. Under Where you work, choose Office, Client site or Remote. Orquiva remembers the last one you used on that device.
  2. Press Clock in. The counter starts and the status changes to Clocked in.
  3. For a break, press Take a break. The status changes to On a break and the counter stops.
  4. When you’re back, pick where you work again if it has changed and press Resume.
  5. When you finish, press Clock out. You can also clock out straight from a break if you’re leaving then.

Each stretch between clocking in (or resuming) and taking a break (or clocking out) is recorded separately, with its own work mode. That’s how you can spend the morning at the office and the afternoon working remotely.

After you clock out

The card doesn’t lock: if you go back to work, you open another stretch on the same day.

Start overtime only appears when you have a schedule and have already met it. How those hours count is in History and hours summary.

Clocking in on a holiday or a day off

If today is a public holiday or you have time off, the card says so under the status, but it still lets you clock in: some people do work those days. If you have approved time off, Orquiva asks first: You have approved time off today. Press Clock in anyway only if you really are working: a clock-in by mistake leaves a record that then has to be corrected.

Location

Below the buttons there’s Save where I clock in (device location). It starts unticked. If you tick it, when you clock in and out the device’s position is saved with that stretch; if permission is refused or takes more than 5 seconds, you’re clocked in anyway. More in Orquiva on your phone.

What happens next

Each stretch is saved immediately, with the time it reached the server, and shows up in the Clock-ins list. Nobody has to approve a clock-in. What does need approval is any later change: that’s done with a correction.

If you forget to clock out, you'll hear at 10 p.m.

If your working day is still open at 10 p.m. (in your company’s time zone), you get Your working day is still open in your inbox and, unless you’ve turned it off, by email. If you finished a while ago, don’t press Clock out now: request a correction with the actual time.

If something goes wrong

I forgot to clock out. The stretch is still open. If you’re still working, press Clock out when you finish. If you finished earlier, request a correction with the actual time you left.

I clocked in with the wrong work mode. Request a correction: in the day editor, each stretch has its own mode.

I pressed Clock out by mistake. Press Resume workday (or Start overtime) to open another stretch. The gap stays as time not worked; if it shouldn’t be there, request a correction.

The button shows an error. Orquiva tells you with a message and nothing changes. Check your connection and press it again. If it keeps happening, write to us.
