There’s no separate signatures screen: documents your company sends you to sign arrive in My documents, and you sign them from their own row. If you bookmarked the old «My signatures» address, it takes you to that list.

Where to find what you need to sign

When your company creates a signature request, three things happen:

  • You get the «New document to sign» notice in your inbox.
  • A copy of the document appears in your folders, usually in Other, with the Pending signature tag. An equipment handover contract goes to Contracts.
  • Home reminds you how many documents are waiting for your signature.

In My documents, the Signature required counter takes you straight to the list filtered by To sign.

How to sign

  1. Select the document’s Pending signature tag. The signing panel opens.
  2. Review the document. Download document opens the whole thing before you sign anything.
  3. Under Your signature, draw your signature in the box. If you don’t like it, select Clear and try again.
  4. Select Sign document.

It works the same in your phone’s browser: you draw the signature with your finger.

Signing can't be undone

A signature can’t be withdrawn. If you have doubts about the content, don’t sign and ask HR first. If you’ve already signed by mistake, tell whoever sent you the document as soon as possible.

Rejecting instead of signing

  1. In the signing panel, select Reject.
  2. Write the reason. It’s required: you can’t confirm without it.
  3. Select Confirm rejection. If you change your mind before confirming, select Back.

Rejecting stops the request for every signer: it becomes Rejected and no one can sign it anymore. If it’s still needed, your company will have to send a new one. Tell whoever sent it why you rejected it.

What happens next

When you sign, Orquiva stores your signature with the date and time, your IP address and the browser you signed from. The panel’s Audit trail shows each step of the request with its date and time.

If the request has several signers, they’re notified in order: when the person before you signs, you get «It’s your turn to sign». Under Signers you can see who has signed and who hasn’t. While signatures are missing, the request is In progress.

Once everyone has signed, the request becomes Completed and Download certificate appears. On your row, the tag changes to Signed: select it to go back to the panel and download the document or the certificate whenever you like.

Statuses

StatusWhat it means
PendingNo one has signed yet
In progressThere are several signers and some are still missing
CompletedEveryone has signed: there's a certificate
RejectedA signer rejected it and the request stopped
CanceledYour company canceled the request before it was completed
ExpiredThe deadline passed before it was completed

Deadlines and reminders

A request can have a deadline. When there are less than 48 hours left and it’s your turn to sign, you get an automatic reminder, at most one a day. Your company can also send you one by hand.

If the deadline passes, the request becomes Expired and can no longer be signed. Your company would have to send it again.

If something goes wrong

I can’t find the document I was notified about. Open My documents and select the Signature required counter. If it isn’t there, you may have already signed it: search for it by name in All my documents.

The option to sign doesn’t appear. You can only sign while your signature is pending and the request is still active. If it’s Rejected, Canceled or Expired, there’s nothing left to sign.

It won’t let me confirm the rejection. The reason is missing. Write it and select Confirm rejection again.

The request has expired. It can’t be signed after the deadline. Ask your company to send it again.

I need the signed document or the certificate. Select the Signed tag on the document’s row. The certificate only exists once everyone has signed.

I’m not getting the notices. Check your inbox and your notifications. If the fault is Orquiva’s, contact us.
