Approving clock-in corrections
Approving a correction replaces the whole day with what the person proposes. Who decides, what to check, how to ask for more info and how to fix a mistake.
When someone forgets to clock in or records the wrong time, they send a correction request with what they propose and why. In Clock-in approvals you decide whether that change is applied.
Approving here isn’t a minor sign-off: it rewrites the day.
Before you start
You decide because you are their direct manager. You see and resolve corrections from the people who have you assigned as their manager, with no special permission, and Clock-in approvals shows up in your menu as soon as someone reports to you. Whoever holds the company’s clock-in approvals permission (in the default roles, HR) resolves them for the whole company. Nobody resolves their own, except the administrator. It is the same rule as for time off.
Nobody notifies you of a new correction. Unlike time off, creating a correction sends no notification to the manager. Pending ones wait for you in the Approval queue; the overdue counter flags those waiting more than three days.
Approving replaces the whole day
Orquiva replaces that day’s records with what the person proposes. It doesn’t add or merge them: the day ends up exactly as the proposal says, and anything not in it disappears. Approve only when the proposal covers the full working day, not just the missing stretch.
Reviewing the proposal
- Open Clock-in approvals. The Approval queue is sorted by employee and date, and you can filter it by work mode (Office, Remote, Client site) or search by name or date.
- Each row shows, without opening anything else, the proposed time slots, the break, the day’s total, the difference from what was already clocked (or No hours were clocked) and the reason the person gave.
- Judge whether the change in hours makes sense given that reason, and whether the proposal covers the whole day.
Deciding
Select Approve to apply the proposal, with the day replacement that implies. Select Reject if the change isn’t right: the original clock-ins stay. Rejecting doesn’t ask for a reason.
If you need more information, select Ask for info: the person gets a notification to review that day and the request stays pending. It is the alternative to rejecting when the proposal can be fixed.
Approve all resolves the whole queue at once. It is a secondary button and asks for confirmation, because it rewrites the record of every one of those days without you opening them one by one. Use it only after reading the reasons.
What happens next
On approval, the person’s day is replaced by the proposal straight away, and the working-time record shows that you approved it. On rejection, the day stays as it was. Either way, the person gets the decision in their inbox.
The Recent history tab lists recent decisions with their type, status and Decided by: that is where you see whether someone else resolved a correction for your team.
If you try to resolve a request that was already resolved, from a tab you opened a while ago for example, Orquiva blocks it. Refresh to see its real status.
Correction statuses
| Status | What it means | What you can do | What the person can do |
|---|---|---|---|
| Pending | In the queue, waiting for a decision | Approve, Reject or Ask for info | Wait or, if you ask for info, review the day |
| Approved | The day has been replaced by the proposal | Nothing from the queue | Send another correction |
| Rejected | The original clock-ins stay | Nothing from the queue | Send another correction |
If something goes wrong
I approved and some clock-ins for that day disappeared. Approving replaces the whole day. Ask the person for a new correction with the full day and approve it.
I want to undo a correction I already resolved. A resolved request can’t be reopened. If you hold the clock-in approvals permission, fix the day yourself from the person’s record: the History tab, the Attendance history section, the Correct button. The editor loads every time slot the day already has, each with its Mode (Office, Remote or At a client site, which you can change) and keeping its breaks, with times in the company’s time zone; a clock-out earlier than the clock-in counts as the next day. You adjust the slots, enter a required reason and select Save correction; the change applies right away and is recorded with your name, the reason and the clock-ins that were there before. If you remove every slot, the day is left with no clock-ins. It doesn’t work for future days, and never on your own record: the button doesn’t show on your own profile unless you have the admin role. If you don’t hold that permission, ask the person for another correction from breaks and corrections.
It says the request was already resolved. Someone else with permission, or another tab of yours, got there first. Check who in Recent history.
I can’t see corrections from someone on my team. You only see people who have you as their direct manager. Ask HR to check the manager assigned on their record.
The person’s hours balance still doesn’t add up. Have them check their records in their hours history and, if needed, send another correction.
