Team overview
Your team's live panel: clock-in time, the day's status, hours balance and anomalies such as clocking in while on leave or days over 12 hours.
Team overview is your team’s live panel: who has clocked in and when, who is away, who is late and which days have something odd about them.
It is a screen for looking, not deciding. Nothing gets approved here.
Before you start
You see your team because they report to you. The panel shows the people who have you assigned as their direct manager, and only them. The entry is in the menu, in the Time management section next to Clock-in approvals, as soon as someone reports to you. The administrator sees the whole company. Holding a permission without having a team doesn’t help: the screen comes up empty.
It requires the Professional plan or higher. The header shows this as PRO · Team. If your company is on Starter, the screen isn’t available.
Reviewing the day
- Open Team overview. By default you see today, marked Live.
- Pick the Date and the View: Day for a single day or Week to see the trend.
- Use Search for an employee if you only care about one person.
- Go through each row’s status and tags. Expand details opens the person’s breakdown.
- If you need the data outside Orquiva, select Export report: it downloads a CSV with clock-in, clock-out, schedule, recorded and planned hours, and balance.
The panel refreshes itself: every 30 seconds in today’s day view and every minute in the current week’s view. To force it, select Refresh.
Reading each person
Each row shows the clock-in time (In at), a status and a few tags.
The statuses are Working, Workday complete, Vacation, No shift, Absent, Late and Pending time off.
When expanded, you get the Planned and Recorded hours and the Balance, punctuality as Expected → Actual, and a Timeline of the week.
What each tag means
| Tag | What it shows | What to do about it |
|---|---|---|
| Missing clock-in / Absenteeism | They had a schedule that day, didn't clock in and have no approved time off | Talk to the person; if they worked, they should request a correction |
| Clocked in while on leave | They have approved time off and clocked in anyway | Clear up which of the two records is right |
| Over 12 h in the day | More than twelve hours clocked that day | Almost always a forgotten clock-out: they should correct the day |
| A day of only a few minutes | A closed day of five minutes or less | Usually a clock-in by mistake: review it with the person |
| Late / Early exit | Clocked in after, or left before, their schedule | Review punctuality with the person |
| Request pending | They have a time-off request waiting | Approve or reject it in your queue |
| Overtime / Missing hours | Deviation from their schedule | Weigh it in your follow-up, not on the panel |
The Vacation tag marks approved time off. A day that hasn’t come yet never shows as Missing clock-in.
What happens next
Nothing: this panel doesn’t change anyone’s status. Time-off requests are resolved in approving your team’s time off. Clock-in gaps, with a correction you approve in approving clock-in corrections. Schedule deviations, by changing the schedule in planning schedules and shifts.
A forgotten clock-out also has its own reminder that doesn’t go through you: if the working day is still open in the evening, the person gets a reminder in their inbox and by email.
If something goes wrong
I don’t see the Team overview entry. Either nobody reports to you, or your company isn’t on the Professional plan or higher. Ask whoever runs Orquiva at your company.
The screen is empty. Nobody is assigned to you as a direct report. Ask HR to check the manager on your team’s records.
Someone on my team is missing. You only see people who have you as their direct manager. Ask HR to check their record.
Someone shows as Absent and should be on vacation. Their request is still pending: until you approve it, the panel doesn’t count it as vacation. Resolve it in approving your team’s time off.
It says Missing clock-in but the person did work. The record doesn’t exist. Ask them to send a correction and approve it.
