Slack and Teams alerts
Which Orquiva events reach Slack, Teams or Discord, who can approve from the buttons, the Slack commands, and why clock-ins don't show up.
If your company connects Orquiva to Slack, Microsoft Teams or Discord, some events are posted to a channel in your chat. They go to the channel chosen by whoever set up the connection, not to each person privately, and they’re the same in all three. What changes is what you can do from the message.
Before you start
An administrator at your company sets up the connection from Integrations. It isn’t a personal setting: you don’t turn it on or off, and your notification preferences don’t change what reaches the chat. How each one is connected is in Integrations, API and webhooks.
What reaches the channel
| Event | When it's posted |
|---|---|
| Time off | When someone requests time off, and when it's approved, rejected, changed or deleted |
| Employees | When someone is added, their record changes or they're deleted |
| Onboarding | When someone completes one of their onboarding tasks |
Each message carries the person’s name and the details of the event; for time off, the type and the dates.
Clock-ins don’t arrive. There’s at least one per person per day and they would flood the channel, so Orquiva doesn’t send them to chat even when the connection gets everything else. Goals, evaluations, announcements, documents, signatures and expenses aren’t posted either.
What you can do from each chat
| Slack (app) | Microsoft Teams | Discord | |
|---|---|---|---|
| New time-off request | The same buttons, but they open | The message only | |
| Commands | /orquiva whoisout and /orquiva help | None | None |
| How it's connected | Pasting the URL of a Teams Workflows flow | Pasting the URL of a channel webhook |
Slack also has the Webhook (legacy mode), for companies that can’t install the app. It delivers the same alerts, but without buttons or commands.
Approve or reject from Slack
- On the new time-off message, click Approve or Reject. If you’d rather see the whole request first, click Open in Orquiva.
- Orquiva finds your account using the email on your Slack profile and checks whether you can decide that request.
- If you can, the message is replaced with “approved by” or “rejected by” and your name. If not, only you see a notice that you don’t have permission, and the request stays Pending.
The whole channel sees the buttons
The message goes to the channel, so anyone can click. It only takes effect if you can decide that request in Orquiva: you’re the requester’s direct manager or you hold the company-wide time-off permission, and never for your own time off unless you’re an administrator. It’s the same rule as on the web. See Approving your team’s time off.
Slack commands
/orquiva whoisoutlists who’s out today. It only counts approved time off, and for each person it gives the name and until when they’re out, without the type of absence. Only you see the reply./orquiva helplists the available commands.
Command replies are in Spanish only.
What happens next
A decision made from Slack is the same as one made on the web: the person gets the alert in their inbox and by email. The administrator can silence event types for Slack under What you want to sync, and add a mention such as @here with Include a mention. Teams and Discord don’t have that setting.
If something goes wrong
/orquiva whoisout doesn’t list someone who’s on vacation.
The command only lists today’s approved time off. If their request is still Pending, they don’t appear.
I click Approve in Slack and it says I don’t have permission. You’re not that person’s direct manager and don’t hold the company-wide time-off permission, or the email on your Slack profile doesn’t match your Orquiva account.
In Teams I click Approve and Orquiva opens. In Teams the buttons are links: decide the request in Time-off control.
I don’t see clock-ins in the channel. Orquiva doesn’t send clock-ins to chat, because of their volume.
A type of event has stopped reaching Slack. An administrator has silenced it in the integration settings. Ask them.
Nothing reaches the chat. The integration may not be connected, or may have no channel. Ask an administrator at your company; if the connection shows an error, they can contact us.
