Welcome to Orquiva
What you do in Orquiva, how you sign in the first time, where everything is in the menu and what to do in your first days, on your phone too.
In Orquiva you clock your working day, request vacation and other time off, sign documents, and get your payslips and your company’s announcements. If you’ve just received your invitation, this is the map.
How you get in
Your account starts with an email invitation from your company. The link expires after 7 days: if you miss it, ask HR to resend it. Each company has its own address, like yourcompany.orquiva.com, and that’s the one in the invitation. Your first sign-in, your password and signing in with Google or Microsoft are covered in Signing in.
There’s nothing to install. Orquiva runs in the browser on your computer and on your phone, and on your phone you can add it to the home screen to open it like an app. It isn’t in the App Store or Google Play: how to do it is in Orquiva on your phone.
Where everything is
When you sign in you land on Home. There you’ll find the clock-in card with the button to start your day, the Needs your attention block (signatures, onboarding tasks, declined corrections or time off), the Request time off shortcut and your upcoming holidays and vacation.
The side menu takes you everywhere else:
| I want to… | Where |
|---|---|
| Clock in and see my hours | Time tracking, Clock-ins tab, or the card on Home — Clocking in and out |
| Request vacation or other time off | Time tracking, Time off tab — Booking time off |
| See my days off and public holidays | Time tracking, Calendar tab — Your calendar |
| Complete my onboarding | My onboarding — Your onboarding |
| See my payslips, sign or upload a document | My documents — My documents |
| Read announcements and notices | Inbox — Inbox |
| Change my password, language or two-step verification | Your avatar, top right → Preferences — Security and password |
Some entries only appear if your company has the module: My schedule (advanced schedules), My expenses, My assets or Performance. If you don’t see them, your company doesn’t use them.
Search and act without the menu
Press ⌘K (Ctrl+K on Windows) to open search. It finds pages and people, and it also runs actions directly, such as Clock in or out or New absence.
First steps
- Activate your account from the invitation and create your password.
- Open My onboarding and complete the tasks you’ve been given: details, documents, signatures. It’s explained in Your onboarding.
- Check your personal details in your profile. Your company works with what’s there; your tax ID, for example, is what gets your payslip into your folder.
- If you’ll clock in from your phone, add Orquiva to your home screen: Orquiva on your phone.
You don’t have to do it all on day one. The only step with an expiry date is the first.
What happens next
Notices that affect you — approved time off, a declined correction, a document waiting for your signature — arrive in your Inbox, and some by email too. What reaches you on each channel, and how to turn it off, is in Notifications.
Your time-off requests, clock-in corrections and expenses are decided by your direct manager or by HR. You don’t need to work out who to send them to: Orquiva routes them.
If something goes wrong
I haven’t received the invitation. Check your spam folder. If it isn’t there, ask HR to resend it.
The invitation says it has expired. The link lasts 7 days and can’t be reactivated. Ask HR for a new invitation and use it as soon as it arrives.
I can’t see a menu entry I expected. Some modules are optional and switched on per company. Ask HR whether your company has it.
I don’t know where to start. Look at Needs your attention on Home and open My onboarding: between them they tell you what’s pending.
Nobody at my company is answering. If it’s an access problem and HR can’t help, write to us.
