Personal details
Which sections of My profile you edit, which ones HR manages, what your coworkers see, and why your NIF has to be right for your payslip to arrive.
My profile holds your personal information. Part of it you change yourself and part of it only HR can change. You open it from your avatar menu, top right, with My profile.
What sections there are
| Section | What it contains | Who changes it |
|---|---|---|
| Public profile | Nickname, workplace and phone | You |
| Personal details | First name, last name, email, birth date, marital status and children | You |
| Position and contract | Department, team, job title, hire date and, if there is one, termination date | HR |
| Identification and payment | NIF, foreign ID or passport, social security number, tax status, pay type, bank, account holder, IBAN and BIC | HR |
| Emergency contact | Name and phone of the person to call | You |
Sections HR manages carry the Managed by HR tag. Identification and payment starts hidden: select Show to see the details and Hide to cover them again. It also hides itself when you leave the page.
Changing your details
- Open My profile from your avatar menu.
- In the section you want to change, select Edit.
- Change the fields. Nothing is saved until the next step.
- Select Save, or Cancel to leave it as it was.
For your photo, select Change photo on your picture. A JPG, PNG or WEBP photo up to 5 MB works.
The email in Personal details is a contact detail. Changing it doesn’t change the email you sign in to Orquiva with.
Your emergency contact
If you haven’t named anyone, the section offers Add contact. It’s only read in an emergency and your coworkers don’t see it.
At the top of your profile you may see the One detail is missing notice if you have no phone or no emergency contact. Fill them in: without them no one can reach you or let anyone know if something happens to you.
What HR maintains
Position and contract and Identification and payment are read-only for you. Check them when you start, when you change jobs or when you change banks, to make sure what your company has is right.
Your NIF has to be right
When HR distributes payslips, Orquiva assigns them using the NIF (Spanish tax ID) in Identification and payment. If your NIF is wrong or empty, your payslip doesn’t reach your folder (how your payslips arrive). The same goes for your IBAN: if it’s out of date, it affects your pay. If you spot a mistake, ask HR to fix it.
What your coworkers see
From your profile, your coworkers see your Public profile: your nickname, workplace and phone, in the Community directory, if your company has it turned on.
Your Personal details aren’t public: the interface says only HR can see them. Your coworkers don’t see your emergency contact either. Who else can see your data is in Your data privacy.
If you don’t want your phone in the directory, delete it from Public profile.
Your information on other pages
At the bottom of your profile, the Your information on other pages block takes you to:
- Payroll: the page with your gross salary and a button to your payslips (Your payslips).
- Clock-ins: your workday history and this month’s hours.
Your documents are in My documents. Your password, two-step verification and language aren’t in your profile but in your avatar menu, Preferences.
If something goes wrong
I can’t change my IBAN, job title or department. Those are HR’s fields. Ask HR at your company.
It won’t let me save. Check the highlighted field. Usually it’s a mistyped email or a birth date after today.
I changed something and my coworkers still see the old version. Only Public profile reaches the directory. If you changed another section, that isn’t visible to others.
My payslip didn’t arrive and my coworkers’ did. Select Show in Identification and payment and check your NIF. If it’s wrong, tell HR.
I’m looking for my password or language and they’re not here. They’re in Preferences: Security and password and Language and preferences.
