Leaving the company

HR runs your exit, but downloading your payslips and documents and returning your equipment is up to you, and it has to happen before your account is deactivated.

HR runs your exit from start to finish. What does depend on you is reaching your last day with your documents downloaded and your equipment handed back.

Your company runs it, not you

HR opens an exit process with a list of tasks: collecting equipment, the exit interview, final pay, the employment certificate, removing access and the date your account is deactivated. You can’t start or close it from Orquiva, or change your termination date. Your part is to help with what they ask and get your own things ready.

Before your last day

  • Download your payslips. In My documents, open the Pay stubs folder and select Download all (Your payslips).
  • Download your other documents. Also check Contracts, Certificates and the other folders in My documents.
  • Check what’s assigned to you. In My assets, Assets in use tab, is all the equipment in your name (My assets).
  • Exit interview. HR may invite you to one.

Download everything before the date

On the date HR sets, your account is deactivated overnight and you can no longer get in to retrieve anything: not a payslip, not a contract, not a certificate. Anything you haven’t downloaded you’ll have to ask HR for.

Returning equipment

You hand over the equipment; collection is organized by whoever manages assets at your company. When they receive it, they record the return and the item moves to Unused assets as Returned.

If you want a record that you’ve asked to return something, open an Incident on that item with the type Request return (Incidents and returns). It’s a request: the item stays assigned to you until they record the return.

Your final payslip and your certificate

Your final payslip will reach the Pay stubs folder when HR uploads it, just like the others. If your account is already deactivated by then, you won’t see it: ask HR when they’ll upload it and, if it won’t be in time, ask them to send it another way.

The employment certificate and other exit documents are prepared by HR; they aren’t generated automatically. If you need one, ask for it and download it while you still have access.

What happens to your access

HR sets a deactivation date. On that day:

  • Your account is deactivated overnight and you can no longer sign in. If you have Orquiva open at that moment, the session keeps working until its access expires, an hour at most; then it signs you out and won’t let you back in.
  • You stop appearing as an active person, for example in the directory and the org chart.
  • If you had an iCal URL, it stops showing time off.
  • Your data isn’t deleted right away: it’s kept or deleted according to the law and your company’s policy (Your data privacy).

If something goes wrong

When I sign in it says “Incorrect email or password.” even though my password is right. That’s what the sign-in screen shows once the account is deactivated. If your termination date has arrived, it isn’t a password problem: talk to HR.

I can’t sign in anymore and I’m missing a document. With your account deactivated there’s no way in. Ask HR at your company for the document.

I can’t see my final payslip. HR may not have uploaded it yet. Ask them before your termination date, not after.

I need an employment certificate. It isn’t generated automatically. Ask HR for it and download it while you have access.

Who collects my equipment? Whoever manages assets at your company. You hand it over; check My assets for what’s still assigned to you.

Is my data deleted when I leave? Not right away: it’s kept or deleted according to the law and your company’s policy.
