My assets, in the side menu, lists the equipment your company has assigned to you: laptops, phones, monitors, vehicles, access cards, furniture… From here you confirm what you’re handed, check the handover contract and open incidents.

My assets only appears in the menu if your company has the asset management module.

What’s on the screen

Four tabs sort the list:

  • Assets in use: what you have now, with its category, serial number and assignment date.
  • Unused assets: what you had and have already returned, with the return date.
  • Incidents: the incidents you’ve opened and their status.
  • Requests: equipment you’ve asked for and whether it was granted.

At the top there’s a search box and the Request equipment button, explained in Incidents and returns.

Confirming you’ve received equipment

Newly assigned equipment appears under Assets in use with the status Pending confirmation: your company has registered it to you, but you still need to say you have it. Orquiva doesn’t notify you about new handovers; open the screen when you’re given something.

  1. Open My assets.
  2. Find the item with the status Pending confirmation and check it’s the one in front of you: model and serial number.
  3. Select I received this asset.

The status changes to In use and the date you confirmed it is recorded.

Don't confirm what you don't have

Confirming receipt is a record that the equipment is in your hands, and you can’t undo it from your screen. If something shows up that you haven’t been given, don’t confirm it and tell whoever manages equipment at your company. If you already confirmed it by mistake, tell that same person.

Asset statuses

StatusWhat it meansWhat you can do
Pending confirmationIt's been assigned to you and your confirmation is missingCheck it and select I received this asset
In useYou have itOpen an incident or request a return with the Incident button
ReturnedYour company has recorded the returnView it under Unused assets

If an item has an open incident, instead of Incident you’ll see Incident in progress, which you can’t select: each item can only have one open incident at a time.

The handover contract

Each row has a Contract button. If your company has uploaded the handover contract for that item, you open it from there; if not, the button is disabled.

The contract is also saved in My documents, in the Contracts folder. If it’s waiting for your signature, the Contract button is highlighted and you sign it from My documents, like any other document (how to sign a document).

What you can’t do here

From My assets you don’t edit an item’s details, retire it or change who it’s assigned to: that’s done by whoever has the asset management permission at your company. You confirm, check and ask. Faults, returns and new equipment are covered in Incidents and returns.

If something goes wrong

I don’t see My assets in the menu. Your company doesn’t have the assets module turned on. If you’ve been given equipment, ask HR how they track it.

An item shows up that I haven’t received. Don’t select I received this asset. Tell whoever manages equipment so they can fix the assignment.

I can’t find the button to confirm. It only appears while the status is Pending confirmation. If it already says In use, receipt is confirmed.

I confirmed receipt by mistake. It can’t be undone from your screen. Tell whoever manages assets at your company so they can correct it.

I returned an item and it’s still under Assets in use. It moves to Unused assets when your company records the return. Until then it’s still assigned to you.

The Contract button does nothing. There’s no handover contract for that item yet. Ask whoever gave it to you.
