Templates standardize two processes: the tasks for each new starter, and review questionnaires and surveys. They live in different places:

Evaluation or surveyPeople › Talent management, Templates tabProfessional and up

Before you start

Onboarding templates are managed by the administrator or by anyone with the onboarding permission. Evaluation templates, by the administrator or anyone with the evaluation templates permission. If you don’t see Talent management, check your plan in Billing, plan and modules.

Creating an onboarding template

PeopleOnboardingTemplates
  1. Click New template.
  2. Give it a Name and a Description.
  3. Click Add task and fill in Title, Type, Due in (days) and the Instructions.
  4. Choose the task’s destination (see the table).
  5. Click Save.

Every task except Complete profile needs a destination. Without one, the template won’t save.

TypeDestination
Read policy and Confirm materialA Library document or a Document link or path.
Upload documentThe Destination folder: the person uploads the file straight into it.
Sign documentThe Document to sign, which must be in the Library.
Complete profileNone.

Library documents are uploaded in Documents.

Set as default template marks it as Default: it’s the one used when someone’s onboarding opens without a template being chosen. To hand it out, use Assign to employees or pick it in Onboarding template (optional) when you add the person. What they see: Your onboarding.

Reminders and emails

On the Automation tab:

  • Enable automated reminders reminds anyone with unfinished onboarding about their pending tasks. Minimum interval (days) sets how long it waits between one reminder and the next.
  • Enable onboarding emails adds email. Without it, the reminder only reaches the inbox.

Creating an evaluation or survey template

PeopleTalent managementTemplates

The template is built with a three-step wizard. You move forward with Next and back with Back.

  1. Click New template.
  2. Type the Template name and Description, choose the Template type (Evaluation or Survey) and leave Active template checked.
  3. Click Add question for each question. Choose its type (Likert 1–5, Yes/No or Text), its Weight and whether it’s Required.
  4. Check the summary and click Save.

A template without Active template stays as Draft and can’t be used. Survey templates are sent out from the Surveys tab; evaluation ones, when you create an evaluation: Reviewing your team.

How the score is worked out

The score is the average, weighted by Weight, of the Likert 1–5 questions that have an answer, rounded to two decimals:

  • Yes/No and Text questions don’t score.
  • An unanswered scale question doesn’t count: it’s left out of both the sum and the total weight.
  • If no scale question has been answered, the evaluation has no score.

For example, a 4 with weight 2 and a 3 with weight 1 give (4×2 + 3×1) / 3 = 3.67. How to read the results: Results and follow-up.

What happens next

Changes to a template only affect what you hand out afterwards. An onboarding or evaluation already under way keeps the tasks and questions it had when it was assigned.

Deleting a template doesn't touch what's been handed out

You can delete a template with Delete. Onboardings and evaluations that came from it keep their tasks and questions.

If something goes wrong

It won’t let me save the onboarding template. A task has no destination, or a signature task points at something that isn’t in the Library. Choose the document or folder on each task.

The document I want for a task isn’t listed. It has to be in the Library. Upload it in Documents and go back to the template.

I changed a template and an onboarding in progress didn’t update. Changes only reach what’s assigned afterwards. Assign the template to that person again if you need the new version.

Reminder emails aren’t arriving. Check that both Enable automated reminders and Enable onboarding emails are on. The person may also have that email alert turned off in their notification preferences.

I can’t use an evaluation template I just created. It’s a Draft. Edit it and check Active template.

An evaluation has no score. None of its Likert 1–5 questions has been answered.
