Reports and exports
Which report to use and what each one needs: people, expenses, salaries, severance, working-time register, payroll bureau package and exporting clock-ins from Employees.
Orquiva doesn’t have a single reports screen: each report is an entry in the Executive menu, and two more exports live in Salaries and Employees. Viewing a report and exporting it need the same permission, and no report is narrowed down by team: a manager with access sees the whole company, not just their people.
Before you start
| Report | Plan or add-on | Who can open it |
|---|---|---|
| People report and Expense report | Advanced reports add-on, on any plan | Admin or the reports permission |
| Severance report | All plans | Admin or the reports permission |
| Working-time register | All plans | Admin, HR, or anyone with the clock-in approvals or employees permission |
| Salary report and Payroll bureau package | All plans | Admin or the salaries permission (the built-in HR role doesn't have it) |
People report
ExecutivePeople reportPick the Period (month, quarter, year or your own dates) and you see the current headcount, hires and leavers, turnover, average tenure, approved time off, and hours clocked against the contracted day by department. You can download two CSVs: Export headcount (active staff, no dates) and Export absences (the period’s requests, with their status in a column).
Expense report
ExecutiveExpense reportWhat’s owed to the workforce and how old it is, expenses by stage (submitted, approved, paid), spend per person, and expenses approved against policy. Export CSV downloads the period’s expenses.
Salary report
ExecutiveSalary reportThe year’s payroll cost, its split by department and position, and its distribution. From the Professional plan, the salary budget is compared here too.
Severance report
ExecutiveSeverance report- Find the person under Select employee.
- Click Preview.
- Check the Settlement amount and click Export PDF.
It works out a gross figure: unused vacation plus the days worked in the month of the leave, on the daily salary. It doesn’t include severance pay or accrued extra payments, because Orquiva doesn’t store the type of leave or the number of yearly payments. It needs a termination date: if an offboarding is open, it uses its last working day. It only lists active people, so generate it before the deactivation date.
Working-time register
ExecutiveWorking-time register- Click PDF report, CSV report, Excel report or PDF per person (ZIP).
- Leave Entire workforce or pick one person (PDF and CSV only).
- Set From and To.
- Click Export PDF, or the button for the format you chose.
It carries the company with its tax ID and workplace, each person with their tax ID and Social Security number, clock-in, clock-out and breaks for each day, hours worked against planned hours, corrected or late clock-ins marked, and approved time off with its type. It’s what Spain’s labor inspectorate asks for.
Payroll bureau package
In Salaries, Payroll bureau package downloads a ZIP for the month with the working-time register as a spreadsheet, the payroll variables (monthly gross, bonus and expenses to reimburse), approved time off, and hires and leavers. The CSVs use semicolons, ready for Excel. Details in Salaries and the payroll bureau package.
Export from Employees
In Employees, select one or more people and click Export: one month or the Full history of their clock-ins, as a PDF, or a ZIP with one PDF per person. See Managing employees.
There's no document export
Orquiva has no bulk document download and no export of all your company’s data. Documents are downloaded one at a time.
What happens next
Downloads don’t notify anyone. Salary lookups and document downloads are recorded in the Audit log, if your company has it.
If something goes wrong
I don’t see People report or Expense report. The Advanced reports add-on or the reports permission is missing. See Billing, plan and modules.
The severance report says “No leave date”. That person has no termination date and no open offboarding. Start their offboarding from their profile.
I can’t find someone in the severance report. They’re already inactive, and the picker only lists active people.
Excel and ZIP don’t let me pick one person. Those two formats are for the entire workforce only. For one person, use PDF or CSV.
