Completing a review
How to answer and submit a review in one sitting: question types, required questions, why there is no draft and why a submitted one can't be reopened.
If you are the evaluator of a Pending review, it’s yours to answer. You answer and submit it in the same sitting: Orquiva saves nothing until you click Submit evaluation.
Before you start
Only the evaluator answers. When you open a review, check who is listed under Evaluator. If you are the person evaluated, the reviewer or the creator, the dialog opens read-only, with a single Close button.
To get in you need access to Performance (the Professional plan or higher, and the evaluations permission in your role). Surveys are answered with the same form, but from CommunitySurveys.
There is no draft
What you type lives only in the open dialog. If you close it, reload the page or navigate away before submitting, what you wrote is lost and the review stays Pending, empty. If an answer is going to be long, write it outside Orquiva and paste it in at the end.
Open and answer
- Open PerformanceMy evaluations, or click View my evaluations in the Inbox alert.
- Click the review’s row. It opens in a dialog showing the evaluator, the person evaluated, the reviewer if there is one, the state and the Due date.
- Answer each question.
- Check the Required questions completed: X/Y counter.
- Click Submit evaluation.
Question types
The questions and their order come from the template the review was created from. There are three types:
| Type | How you answer | Does it count toward the score? |
|---|---|---|
| 1-5 scale | You pick 1, 2, 3, 4 or 5 in the Select a rating dropdown. No half points | Yes |
| Yes/No | You pick Yes or No in the dropdown | No |
| Free text | You type in the Write your response box | No |
How the score is worked out from the scale questions is in Results and follow-up.
Required questions
Questions you must answer carry the Required mark. Above the first question, the Required questions completed: X/Y counter tells you how many you’ve done, with a progress bar.
While any is missing, the Submit evaluation button is disabled and “Complete the required questions before submitting.” appears next to it. The counter doesn’t point out which ones are missing: go back over the ones with the mark.
A text answer that is empty or only spaces doesn’t count as answered. Questions without the mark can be left blank.
Submit
When you click Submit evaluation, “Evaluation submitted successfully.” appears and the review moves to Submitted.
A submitted review can't be reopened
There is no option to reopen or correct it: not for you, your manager, an admin or Orquiva support. If you spot a mistake, the only way forward is for whoever created it to assign you a new review.
The deadline doesn’t block submission. An overdue review can still be answered while it is Pending. Only surveys created with close-at-deadline stop taking answers.
What happens next
The review becomes read-only and Orquiva works out the score from the scale questions. From that moment, the person evaluated, the creator and the reviewer, if there is one, can read your answers. Orquiva doesn’t send them any alert about the submission. What each of them sees is in Results and follow-up.
If something goes wrong
The Submit evaluation button is disabled. A Required question is missing. Check the counter and go over the marked ones; in text questions, type real content.
I can see the review but can’t type in it. You aren’t the evaluator, or it is already Submitted or Closed. Check the name under Evaluator and the state.
I lost what I had written. You closed the dialog or reloaded before submitting. There is no copy: you have to answer again.
I submitted the review with a mistake. It can’t be corrected. Talk to whoever created it, usually your manager, in case they want to assign you a new one.
I get “Could not submit evaluation.”. Reload the page. If it now shows Closed, its creator or an admin closed it while you were answering and it no longer takes answers. If it is still Pending and the error repeats, write to Orquiva support.
I was asked to answer a survey and it isn’t here. Surveys are in CommunitySurveys.
