Your time-off requests are in Time tracking → Time off, in the My requests list. Here’s what each status means and what you can do with each one.

Where they are

My requests shows the last year’s and future ones, newest first: type, dates and status, plus the reason if it was rejected. Five are shown; if you have more, press Show all N.

If you requested a range that crossed weekends or holidays, you’ll see one request for each run of working days; each one is handled separately.

Click one to open its detail: range, type, the working days it counts, whether it comes out of your balance, the History (when you sent it and who approved or rejected it) and, where relevant, the Reason for rejection.

Changing a request

While it’s Pending you can change the type and press Save. If the new type has a yearly cap, it’s checked just as when you requested it. The dates can’t be changed: as the request itself says, cancel it and submit a new one. An Approved request can no longer be edited.

Canceling or requesting deletion

What decides whether it’s deleted straight away or needs approval is the date, not the status:

  1. Open the request from My requests.
  2. If the time off hasn’t started yet, press Cancel time off. It’s deleted straight away.
  3. If it has already started or is in the past, an approved request’s button is Request deletion. When you press it, the request goes to your manager and shows Cancellation pending.

Time off that has already started never disappears without someone deciding, even if it’s still pending: otherwise a day that was actually requested would vanish without a trace. If your manager accepts the deletion, the time off is removed; if they reject it, it stays approved. Either way you get a notice.

Canceling future time off can't be undone

Cancel time off deletes it: it disappears from your list and your calendar. If you’re canceling to change the dates, be clear on the new ones before you press it.

Closing sick leave with no end date

  1. Open the leave in My requests. You’ll see No end date.
  2. Enter the Last day of the leave.
  3. Press Record the end.

The last day falls between the start of the leave and today; if the leave starts later on, it can only be the start day. If you can’t sign in, whoever decides on your time off (your manager or HR) can record the end too: until someone does, the leave stays open.

Notices you get

  • When your request is approved or rejected: a notice in your inbox and an email. A rejection includes the reason. It also shows on Home, under Needs your attention, for 30 days or until you request those dates again.
  • When a deletion is decided: a notice in your inbox.

What the approver gets is in Approving your team’s time off.

If the decision doesn’t come

There’s no deadline and no automatic reminder. Your direct manager got a notice when you sent the request, so:

  1. Check in My requests that it’s still Pending.
  2. Remind them through your usual channel.
  3. If the dates are getting close, talk to HR, who can also decide it.

If something goes wrong

I want to change the dates of approved time off. If it hasn’t started, cancel it and request again; it goes through approval again. If it has started, request deletion and talk to your manager.

I canceled time off by mistake. It can’t be recovered. Submit a new request and, if the old one was approved, let your manager know.

I can’t see an old request. The list only shows the last year. Ask HR about anything earlier.

Some time off doesn’t show in my calendar. Rejected requests aren’t shown. If it’s pending, check that Show pending is on in your calendar.
